A business system with AI Employees handles customer data, executes processes and takes actions. This requires a more comprehensive security approach than a traditional website. This article explains the shared responsibility model, key controls and AI governance needed to operate responsibly.

Shared responsibility

Security for an enterprise AI system is a shared responsibility among three parties:

  • AJ Partners: system architecture, secure workflow design, access control configuration, integration boundaries, logging and monitoring requirements.
  • Infrastructure providers: hosting, database, encryption, availability and provider certifications.
  • Client organization: authorized users, internal access policies, data classification, retention, training and compliance obligations.

Using providers with security certifications does not automatically transfer those certifications to AJ Partners or client systems. Compliance scope must be evaluated and documented for each organization.

Principle of least privilege

Each AI Employee, each user and each integration must have access only to the information and systems it needs for its function. Service AI does not access financial data. Sales AI does not modify pricing. This principle reduces the risk of improper access and limits the impact of any error.

Data classification

Not all data is equal. An enterprise AI system must classify information according to sensitivity:

  • Public data: product information, general pricing, policies.
  • Internal data: processes, business rules, system configuration.
  • Confidential data: customer information, quotes, conversation history.
  • Sensitive data: personal, financial or regulated data requiring special protection.

Classification determines what data each AI role can access and what protection is required.

Access control

Access control is role-based. Each role — human or AI — has specific permissions. Access is granted by need, not by default. Administrators have separation of privileges: who configures the system is not necessarily who operates it.

Secrets management

Credentials, API keys and integration secrets must not be in code or accessible configuration files. They are handled through secrets management systems that encrypt and rotate them periodically. Nobody — including the AJ Partners team — should have access to client secrets in plain text.

Logging and monitoring

Everything the system does must be recorded: what actions each AI Employee executed, what data it accessed, when, with what result. Records allow:

  • Auditing the system after an incident.
  • Detecting anomalous behavior or configuration errors.
  • Improving system rules and knowledge.
  • Meeting audit and regulatory requirements.

Human approval

AI governance requires that sensitive actions have human approval. This does not mean everything requires approval — that would be inefficient. It means higher-risk actions (special discounts, contracts, financial decisions, policy changes) are reserved for humans. The configuration of what requires approval is the client organization’s decision.

Vendor assessment

Infrastructure providers, AI services and integrated tools must be assessed before incorporating them into the system. Assessment includes: provider security certifications, data handling practices, data location, retention policies and terms of service.

Incident response

No system is 100% secure. An incident response plan defines what to do when something goes wrong: how to detect, contain, investigate, communicate and recover. The plan must include clear roles, responsibilities and communication lines.

Alignment with SOC 2 and ISO/IEC 27001

System security controls can be mapped to relevant SOC 2 criteria (security, availability, confidentiality, processing integrity and privacy) and ISO/IEC 27001:2022 principles. This does not mean AJ Partners is certified. It means the architecture is designed to support organizations seeking or maintaining these certifications.

No HIPAA, PCI DSS, GDPR or other compliance is claimed unless the specific implementation has been assessed. Honest security is more valuable than exaggerated security.

Conclusion

Security for an enterprise AI system is not an add-on applied at the end. It is designed from the initial architecture. The shared responsibility model, least privilege, data classification, access control, logging and human approval are the pillars. AI governance is not an obstacle to automation; it is what enables automating with confidence.

Key takeaways

  • AJ Partners: system architecture, secure workflow design, access control configuration, integration boundaries, logging and monitoring requirements.
  • Infrastructure providers: hosting, database, encryption, availability and provider certifications.
  • Client organization: authorized users, internal access policies, data classification, retention, training and compliance obligations.
  • Public data: product information, general pricing, policies.

Frequently asked questions

Is AJ Partners SOC 2 or ISO 27001 certified?

We do not claim our own certification. The architecture is designed with controls aligned to these standards, and can support organizations seeking or maintaining certifications. Specific compliance is evaluated per implementation.

Who is responsible for system security?

It is a shared responsibility. AJ Partners designs the architecture, providers contribute infrastructure, and the client organization defines internal policies, access and compliance obligations.
