Agentic Systems Glossary

Clear, authoritative definitions of the key concepts we use when designing Agentic Websites, AI Employees and business systems for companies in Mexico.

Agentic Website

A website that does not only display information but can take actions within defined business processes — answering customer questions, qualifying leads, scheduling appointments, and updating records.

AI Employee

A configured AI role that performs specific tasks within a defined business process, such as qualifying inbound leads, preparing quotation drafts, or sending appointment reminders.

Agentic Business System

The complete set of connected components — Agentic Website, knowledge base, customer data, workflow rules, AI Employees, and human approval points — that operate together around a company’s processes.

Customer Memory

The system’s ability to store and recall information about each customer interaction — what they asked, what they were told, what they were offered, and what happened next.

Business Knowledge Base

A structured collection of information about a company’s products, services, pricing, policies, and processes that the system uses to respond accurately to customers and support AI Employees.

Human Approval

A control mechanism that requires a human team member to review and authorize certain actions before they are executed — such as sending a quotation, applying a discount, or confirming an appointment outside standard hours.

Automated Follow-Up

The system’s ability to send timely, consistent follow-up messages to leads and customers — such as acknowledging an inquiry, confirming a meeting, or reminding about a pending quotation — without requiring manual effort.

Knowledge Architecture

The structure and organization of information within the system — how the knowledge base, customer data, and process rules are connected so that AI Employees and the Agentic Website can access the right information at the right time.

Connected Workflow

A defined sequence of steps that connects the Agentic Website, business tools (CRM, WhatsApp, email, calendar), and AI Employees so that customer interactions move through the business without manual handoffs.

AI Governance

The set of rules, boundaries, and oversight mechanisms that define what AI Employees can and cannot do within the system — including role limits, knowledge boundaries, approval thresholds, and output monitoring.

Customer Response

The capability of an Agentic Website to answer customer questions immediately using company-approved knowledge, across the website, WhatsApp, and email, without requiring a human to be available at that moment.

Lead Qualification

The process of evaluating inbound inquiries to determine which represent viable sales opportunities, using defined criteria such as budget, timeline, need, and authority, so that human sales effort is focused on qualified prospects.

Appointment Scheduling

The capability of an Agentic Website to check real-time availability, book appointments, send confirmations, and manage reminders without manual coordination, while respecting business rules for cancellations and rescheduling.

Quotation Preparation

The capability of an AI Employee to draft quotations using approved pricing, product catalogs, and business rules, so that human team members review and approve before the quotation is sent to the customer.

Connected Data

The integration of customer data, lead information, conversation history, and business records across the Agentic Website, CRM, and business tools so that every component of the system has access to the same information.
